What Does an Administrative Assistant Do? Duties and Entry Skills
Fight For 50 · Facts checked November 2026
What does an administrative assistant do? The job keeps an office's details and daily work in order. Common tasks include setting up meetings and handling letters and emails. Assistants also update records and help colleagues find what they need. The exact mix depends on the employer, team and setting. A course or certificate does not guarantee a job or higher pay.
General administrative work centres on office coordination. Executive support often needs more judgement and experience. Medical office work adds healthcare terms and rules for records. Choose training for the duties of the job you want. A provider's course certificate is not IAAP's Certified Administrative Professional credential, which has its own experience rules.
What the role involves
What is an administrative assistant in practice? The role combines keeping records with helping people get work done. The BLS names writing, people skills and sound judgement as useful qualities.
Compare a course's exercises with these tasks: clear emails, a workable schedule and a sound choice when requests clash. Software lessons alone do not show all of those skills. Source: BLS important qualities, Checked November 2026.
The BLS occupation guide describes clerical and organisational tasks across many workplaces. An assistant may work for one manager, a small team or a whole office. A job title alone does not tell you the level of authority.
In a small business, the same person might book meetings and prepare invoices. A larger workplace may split those duties between several jobs. Read the tasks in a vacancy before deciding that you need a given course or credential.
An assistant often coordinates work instead of authorising it. For example, you may gather travel options while a manager approves the booking. Knowing who can approve spending or release details is part of doing the job well.
Common duties and tools
Scheduling means more than adding a meeting to a calendar. You may need to check availability, reserve a room and send the right materials. If plans move, you need to tell the affected people and keep the record current.
Written work can include emails, meeting notes, letters and document edits. A wrong date or attachment can create more work for everyone. This is why accuracy matters. Filing and record retrieval also require consistent names and sensible access permissions.
Typical tools include email, calendars, word processing and spreadsheets. Some employers use specialist systems. Learn the task behind the software. Keeping a clean contact list helps across products. Learning one screen by heart is less useful.
Entry skills and practical examples
The BLS describes a common entry route. High school graduates with office software skills usually qualify for entry-level jobs. Training on the job is common.
Medical and legal settings may need extra terminology and procedures. Source: BLS entry information, Checked November 2026.
You can prepare useful examples without using a former employer's confidential files:
- Make a sample meeting agenda with clear timings and actions.
- Create a simple spreadsheet that checks a list of office gives.
- Write a brief response to a sample scheduling conflict.
- Organise blank sample documents in a consistent folder system.
Explain what you did and why. These are work samples, not evidence that you held a job you never had. Use invented names and details.
General, executive and medical support
General assistants handle a broad range of office tasks. Executive administrative assistants may plan senior leaders' schedules. They may also prepare more detailed material. That work can involve confidential decisions and competing priorities.
Medical administrative assistants work with healthcare appointments, records and patient communication. Administrative work does not by itself qualify someone to perform clinical duties. Billing and coding can also be separate specialisms.
If figures and records appeal to you, compare the bookkeeping training routes. Entering invoices in an office job is one task. It need not mean you are in charge of a full set of books.
Training options and credential limits
An introductory office-skills course can help you practise software and business communication. ExpertRating's administrative course is one possible first learning option. Its own award is not IAAP CAP or NHA CMAA. Nor is it a legal requirement for a general office job.
IAAP awards the Certified Administrative Professional (CAP) credential. Its entry routes require relevant paid experience. You need four years without a college degree.
With an associate degree, you need three years. With a bachelor's degree, you need two. IAAP also states equivalent routes based on hours.
The experience must be within the last ten years. Internships and work-study do not count. Source: IAAP eligibility, Checked November 2026.
IAAP lists the CAP exam at $400 for members or $600 for non-members. IAAP membership is $200 a year and is optional. Source: IAAP CAP fees. Checked November 2026.
That difference changes the order of your next steps. A beginner can learn office skills and pursue suitable entry work. Buying a short course does not turn a beginner into an eligible CAP applicant. If you have office experience, check your actual duties against IAAP's scope. Do this before paying for exam prep.
Pay and next career steps
Use the administrative assistant salary reference to compare general, executive and medical occupations. Their pay series cover different duties. So one headline number is a poor basis for a course purchase.
Look at local vacancies for the tasks, hours and required evidence. Then list which skills you already have and what you need to practise. Find the smallest skills gap that serves the work you want. Choose training for that gap instead of collecting unrelated certificates.
